Managed print services and the paperless office

About 36 years ago, Business Week published an article titled “The Office of the Future” that originally coined the term “paperless office.”  The authors predicted that by 1995 technology would exist that would let users access documents at the touch of a button, eliminating the need for paper.  Ever since then, the concept of attaining a paperless-state has been an oft talked about ideal.  I think it’s highly unlikely we will ever see a truly “paperless office,” but, with the technology available today there’s no excuse to not have a paper-efficient office.
In a stunning contradiction, I saw a reference today to recent research:  CompTIA’sExamining the Print and Document Management Market research study, that found that most companies expect to maintain or increase the level of printing and scanning they currently do.  What?  Is the volume of data (information age) driving this?  Anna Matthai blogged about the research study, The Paperless Office and Managed Print Services Providers, and shared that they found that nearly ½ of companies with formal document retention policies say their primary method to store important documents is to save the original paper copy.  Combine that policy with the explosive increase in data and that’s a recipe for a lot of printed pages.  Despite the digital capabilities that exist that could be reducing printed pages, what this really reveals is how hard it is to change ingrained workforce habits.
For organizations serious about working towards a “paper-efficient” office, document management is a must.  Digitize documents for efficient record-keeping and convenient document access.  Another opportunity is workflow solutions to improve business processes. Businesses shouldn’t be looking for a way to get rid of paper altogether; they should be looking for ways to optimize their paper intense processes utilizing the sophisticated technology available to them today.  The practical approach is a blended strategy to improving workflow where digital can take a lead while recognizing where paper still has its place.  
The reasons to adopt a strategy to move towards a more paper-efficient office are compelling --- save money, environmental benefits, and you can increase productivity and efficiency through improved document workflow.  On the flip side – change is hard and the transition to a paper-efficient office will force changes to some ingrained workforce habits.  On top of that, some IT professionals still don’t think of imaging and printing as strategic. But, our customers that have adopted this new way of thinking have made significant strides, saved millions of dollars and grown their bottom line. Vyomesh Joshi

Vyomesh I. (VJ) Joshi is executive vice president of the Imaging and Printing Group (IPG) at HP. IPG is a $26 billion annual revenue business that encompasses the consumer, enterprise, small-to-medium business and graphics customer segments. Its product, services and solution offerings span inkjet, LaserJet and commercial printing, printing supplies, digital photography, entertainment, retail publishing, graphics and managed services.

Under VJ’s leadership, IPG has grown revenue from $19 billion to $26 billion and doubled its operating profit to more than $4 billion. VJ spearheads HP’s drive to become not merely the world’s premier printer company, but the world’s premier printing and content consumption company.

On behalf of HP, VJ serves as the executive sponsor for all HP operations and initiatives in India. He is also a member of HP’s Executive Council.

VJ joined HP in 1980 as a research and development engineer and has held various leadership positions. He holds a master’s degree in electrical engineering from Ohio State University. VJ has been a member of the Yahoo! board of directors since 2005.

HP also announced that customer adoption of its cloud-enabled, web-connected print technologies has reached the mainstream, with more than 10 million printers sold to date.

  • P ePrint Enterprise mobile printing version 1.6 now gives mobile device users the ability to leverage print job retention and PIN release functionality found in over 50 HP LaserJet devices, whereby a user sends documents to supported HP printers from their mobile device, releasing the documents to the output bin only when they enter their unique release code at the printer.

Printer firms attempt new formats to help save costs

WITH companies resorting cost cutting measures due to economic slowdown, Canon and HCL Technologies have come out with a novel strategy to promote managed print services (MPS -pooled printers) to enable companies save on printing costs.

Companies are spending less on office equipment because of slowdown and “we are converting this into opportunities by getting contracts for managed document services and printing,“ Alok Bharadwaj, senior VP , Canon India told Financial Chronicle.

He said enterprises are planning to deploy cost-effective measures to reduce costs that are convenient and managed print service (MPS) is one of them.

Small and medium enterprises especially are working on four Cs -cost, control, convenient and care (for the environment -carbon footprint) -and companies are utilising MPS as one of the solutions.

“Companies are going for alternative services instead of spending on printers.... World is moving into centralised environment from individual now with high utilisation solutions like MPS,“ Anubhav Saxena, VP and global head, HCL Technologies, told FC.

In India, there are 60 billion pages printed every year through different types of printers and therefore, even if we calculate per page print at Rs 1.75, the market is expected to be at least Rs 10,000 crore. And, if companies switch over to MPS, they can save around 30 per cent of their total cost on printing, Bharadwaj said.

Epson India, however, felt that MPS is still a costlier affair for small enterprises. Therefore, the company is focusing for Indian version of printers for such markets. “The market is at nascent stage right now for MPS in India, but, our way of looking in the market is different. We are customising products for even small to smaller organisations as per Indian customers.

There is a potential in those markets and we are developing products for such markets for long-term growth,“ said Ram Prasad, deputy GM, Epson India.

He said though volumes are small growth is large in geographies such as B, C and D classes of markets as MPS is mainly used by large enterprises in retail, banking, financial services and insurance, information technology and enables services.

Amrita Choudhury, Research analyst, Gartner, said, “MPS globally is used by large enterprises across sectors to save cost. But, only few SMBs are using this service because as volumes are less and amount could be higher.“

According to Gartner, MPS market size is expected to exceed $10 billion worldwide by 2013 from around $7 billion in 2010.

Apart from Canon, Epson and HCL Technologies, other major companies providing MPS are like Hewlett-Packard, Xerox and Ricoh.

HP Middle East appoints new Business Unit Manager for Managed Enterprise Services

Alok Mohan was appointed as the Business Unit Manager of HP's Managed Enterprise Services (MES) business unit in the Middle East as of June 2011. He is responsible for enterprise sales in the Middle East and leads the regional sales team.

Amin Mortazavi, General Manager for HP Middle East, Imaging and Printing Group said; "We're delighted to have Alok Mohan in this role as he has a wealth of experience from fast-growing and emerging markets in this region and outside. Alok has demonstrated

his ability for managing complexities and has spearheaded many important initiatives for HP Middle East in his previous roles based on listening to specific market needs and on market research."

Prior to taking on the MES responsibility, Alok Mohan was the Enterprise Category Manager for Laserjets and MFPs. He joined HP Middle East in 2003, and has a total of 22 years experience in the office automation and IT industry.

Managed Print Services helps General Mills redirect reources to growth and innovation

Yesterday, at HP’s annual global Imaging and Printing Conference several new product innovations, new partnerships, apps and solutions were announced.  One interesting data point is that customer adoption of its cloud-enabled, web-connected print technologies has reached the mainstream, with more than 10 million printers sold to date.  However, one of the storylines that really got my attention was a case study about how General Mills has reduced imaging and printing costs 50% with HP Managed Print Services, saving $1.1 million annually.  There’s a lot that can be learned and leveraged from the General Mills strategy.

What truly sets General Mills apart when it comes to print management is how the company uses HP MPS not just to cut costs, but also to achieve strategic objectives.  These include General Mills’ Holistic Margin Management strategy and its innovative approach to creating the mobile workplace of the future:  their Flexible User Shared Environment (FUSE) initiative.

Through the Holistic Margin Management Strategy, General Mills delivers value by focusing on what matters most to its consumers and identifying ways to reduce waste across its operations.  The resulting savings are reinvested in value-creating opportunities that drive the company’s top line growth.  The annual savings of more than $1 million from HP MPS is routed directly into other projects that help build the company’s brands.

Flexible User Shared Environment (FUSE) recognizes that traditional, fixed offices are not always the most effective places for employees to work.  Most employees in FUSE no longer have a traditional office space at General Mills’ headquarters; rather, employees choose work space based on what suits their needs at that moment.  So how does HP Managed Print Services help General mills make FUSE work?  HP Access Control (HPAC) facilitates employee mobility by enabling employees to print their work anywhere on the network.  With HPAC, when employees send a job to print, the network routes it to a print queue rather than an individual printer.  The employee can go to any printer, swipe their employee badge and the job is automatically released to that printer.  Additionally, General Mills has implemented HP ePrint Enterprise for printing from mobile devices like smartphones or tablets.  Employees can send a print job to a General Mills printer from where they are working at the moment – their home, an airport or hotel, or even a moving taxi --- and the job travels within their secure network processed via HP ePrint Enterprise and waits in the HP Access Control print queue at General Mills.  When they arrive at their office, they go to a printer, swipe their badge, and only then does HP Access Control release the print job.
